Personally Identifiable Information (PII)

Information that can be used to distinguish or trace an individual’s identity, either alone or when combined with other information that is linked or linkable to a specific individual.

SpiderData Team Members are reminded that safeguarding sensitive information is a critical responsibility that must be taken seriously at all times. Privacy Policy and Terms of Use  specifies the following security policies for the protection of PII and other sensitive data:

  • It is the responsibility of the individual user to protect data to which they have access. 

  • SpiderData Team Members having access to personal information shall respect the confidentiality of such information, and refrain from any conduct that would indicate a careless or negligent attitude toward such information. SpiderData Team Members also shall avoid gossip and should not permit any unauthorized viewing of records contained in a third party system or other systems of records. Only individuals who have a "need to know" in their official capacity shall have access to such systems of records.  SpiderData is not a pointer system.
The loss of PII can result in substantial harm to individuals, including identity theft or other fraudulent use of the information. Because some  SpiderData Team Members may have access to personally identifiable information concerning individuals and other sensitive data, we have a special responsibility to protect that information from loss and misuse. With these responsibilities SpiderData Agency Administrator, Agency Executives, and Agency Supervisors should ensure that their team:

  • Safeguard ALL PII information to which their team members have access at all times, and follow Agency policy or policies when dealing with PII.
SpiderData Agency Executives  MUST ensure their team members are aware of their responsibilities regarding the protection of PII.  In addition to the forgoing, if team members become aware of a theft or loss of PII, they are required to immediately inform their Agency Executive, Agency Supervisor, System Security Officer or Designee.
